Terms of Use

These terms are an agreement between you (the shop or account holder) and the operator of Smart Accounting. By creating an account or using the service you accept them.

1. The service

Smart Accounting is a cloud system for point of sale, inventory and accounting. It runs in the browser and needs an internet connection while you work.

We keep improving the service and may add features or change how things look, without reducing the core functions of your paid plan during its term.

2. Account and users

• You confirm that your registration details are correct and that you are authorised to act for the shop.
• You are responsible for keeping passwords and PINs secret, and for everything done from your account and your staff accounts with the permissions you give them.
• Tell us immediately if you suspect unauthorised access.

3. Plans, prices and payment

• Prices are shown in Qatari riyals on the pricing page and exclude VAT, which will be added when it applies by law.
• Paid plans are paid in advance for the chosen period, are activated once payment is received, and every payment comes with an invoice.
• The price you paid is fixed until the end of its period; any price change applies at renewal, with at least 30 days’ notice.
• Wallet credit (welcome credit or referral rewards) can only be used for subscriptions and services on the platform; it cannot be cashed out or transferred.
• The free plan is available within its published limits, which may change with prior notice.

4. Renewal and expiry

We remind you by email before your subscription ends; it is never renewed and no amount is charged without your consent.

After the end date you keep full service for 7 days, then 14 days of read-only access (view and export your data, no selling or editing), then the account moves to the free plan with its limits. Your data is not deleted because a subscription ended.

5. Cancellation and refunds

• You can stop renewing at any time; your subscription stays active until the end of the paid period.
• If the service does not suit you within 14 days of your first annual payment, we refund it in full, minus the value of any setup service provided to you. After that, no part of a paid period is refunded.
• Upgrades apply immediately for the price difference over the remaining period; downgrades apply at the end of the current period.

6. Your data

• The data you enter (products, invoices, customers, journal entries and so on) belongs to you. We use it only to provide the service to you, as set out in the Privacy Policy.
• You can export your data at any time (Excel, CSV and a full backup), and the shop owner can delete the shop’s data permanently from Settings.
• After deletion we keep only the record of your subscriptions and payments, as it is a financial record between us.
• You are responsible for the lawfulness of the customer and staff data you enter.

7. Acceptable use

You must not:

• use the service for any activity that breaks the laws of the State of Qatar;
• try to access another shop’s data, probe the service for vulnerabilities or disrupt it;
• create fake accounts or abuse the referral programme or welcome credit;
• resell or copy the service without a written agreement with us.

8. Availability and backups

We aim to keep the service available at all times and take daily backups, but it may stop briefly for maintenance or for failures beyond our control. We announce planned maintenance in advance where we can.

We recommend exporting a copy of your data regularly.

9. Liability

• The service is a tool for recording and organising your operations; the accuracy of what you enter, your tax and legal obligations, and your business decisions are your responsibility.
• The smart assistant answers from your data and can be wrong, so check important figures in the reports.
• To the extent permitted by law, our liability is limited in all cases to what you paid us in the previous twelve months, and we are not liable for indirect losses such as lost profit.

10. Suspension

We may suspend an account that breaks these terms after notifying it and giving it time to put things right, or immediately in cases of serious abuse or a risk to the service or other shops. You keep the right to export your data unless the law prevents it.

11. Changes to these terms

We may change these terms. We will tell you about any material change by email or in the app 30 days before it takes effect, and continuing to use the service after that means you accept it.

12. Law and contact

• These terms are governed by the laws of the State of Qatar, and its courts have jurisdiction over any dispute that cannot be settled amicably.
• The Arabic text prevails if it differs from this translation.
